Job Summary

We’re looking for a highly organised and proactive Operations & Project Coordinator to support the day-to-day delivery of our property conversion projects. You’ll act as the key link between on-site contractors and the leadership team, ensuring complex UK renovation projects stay on schedule and are accurately documented.

This is a remote position based in South Africa, working UK business hours. It’s ideal for someone who excels at managing processes, communicating clearly, taking ownership, and following tasks through to completion. Construction experience is not required, as you’ll receive a comprehensive six-week training handover. What matters most is your attention to detail, reliability, and ability to keep multiple projects moving forward.

Key Responsibilities

  • Manage our custom site inspection app, reviewing AI-generated reports and finalising accurate project documentation.
  • Coordinate active property conversion projects by following up with contractors for progress updates, photographic evidence, and essential project information.
  • Serve as the main point of contact for UK utility and energy providers, managing complex processes and lengthy hold times to arrange meter relocations and new connections.
  • Communicate with clients via WhatsApp and email to obtain approvals, gather required information, and provide regular project updates.
  • Maintain key project records, including valuation sheets, invoices, schedules of work, and other documentation using established templates.
  • Become an expert in the company’s internal knowledge base, using it to resolve issues independently before escalating them to the Director.

Requirements

  • Excellent English communication for frequent professional phone calls with UK clients and companies.
  • Resident of South Africa with a stable internet connection and the ability to work full UK business hours.
  • Exceptional organizational skills with a proven track record of managing checklists and multiple moving parts without dropping the ball.
  • High level of persistence and patience, particularly when dealing with administrative hurdles or external providers.
  • Proficiency in Google Workspace, WhatsApp, and project management software (e.g., Asana).
  • Strong judgment skills; the ability to work independently while knowing exactly when to flag a decision for the Director.

Nice-to-Haves

  • Previous experience in property, construction, or lettings.
  • Familiarity with UK administrative processes or utility company structures.
  • Experience in a remote operations role supporting a UK-based business.
