Personal Assistant / Virtual Assistant to His Excellency

About the Role

This role supports His Excellency, a senior government official who serves as Secretary General of the Supreme Council of Youth and Sports, chairman of approximately five companies, and a board member of two others. His schedule is extremely demanding, running Sunday to Thursday with regular extra hours over the weekend.

The client currently has an in-house Executive Assistant handling email correspondence; this position is a separate, dedicated Personal Assistant (with some Executive Assistant crossover) focused primarily on scheduling, travel, and day-to-day personal/logistical requests. This is a newly created position — the client has not used a virtual assistant before and is looking to bring this function on for the first time.

Key Responsibilities

•       Manage and adjust a fast-changing weekly schedule, including short-notice changes (e.g., arranging an urgent call within the hour).

•       Coordinate meetings and calls via Google Meet and other Google Workspace tools.

•       Research and present travel options on short notice — flights, hotels, and rental options — often with multiple choices for His Excellency to select from.

•       Make bookings and reservations (restaurants, accommodation, travel) sometimes on evenings or weekends.

•       Handle ad hoc purchasing requests (e.g., sourcing and buying specific items on request).

•       Field and prioritize multiple simultaneous requests (up to 5 in a minute), keeping track of each accurately.

•       Be available for urgent, time-sensitive requests outside standard hours, including evening calls (around 8 PM) and weekend requests.

•       Communicate primarily via WhatsApp (or similar messaging apps).

Working Hours & Time Zone

•       Bahrain time zone (AST, GMT+3).

•       Core work week: Sunday to Thursday (weekends are Friday–Saturday).

•       Flexibility required for urgent evening and weekend requests, given the nature of the role.

•       Fast — able to respond and act quickly under tight deadlines.

•       Accurate — high attention to detail, even when working at speed.

•       Highly organized — able to juggle multiple simultaneous requests without losing track.

•       Able to work under high-intensity pressure.

•       Confident and direct communicator — comfortable pushing back, flagging issues, or saying “I don’t have enough time for that” rather than staying quiet under pressure. His Excellency is direct and values someone who isn’t intimidated by a strong personality.

•       Strong research skills, particularly for travel options.

•       Comfortable with Google Workspace (Calendar, Meet, Gmail, Docs).

•       Fluent English required; additional languages are a plus, not require
