Step Into a Role That Makes an Impact We’re seeking a Office Services and Maintenance Manager to drive success NBL Head Office in Bryanston, Johannesburg . This role is designed to ensure ensure maximum, efficient operation of facilities and equipment, as well as the care of the Bryanston Campus building, grounds and support equipment, through the direction of support staff made up of supervisors, technicians and custodians. Develops and maintains preventative maintenance programs. Sets priorities for projects and enforces safety and housekeeping practices. Reporting Structure - Reports to: AVI Exco Project Manager - Direct Reports: Maintenance Supervisor, Post room Supervisor / Post room attendant and driver, 2x Baristas, Telephonist, Staff shop and Administration Key Areas Of Impact Ensure a functional, safe and compliant facilities infrastructure: - Minimise operational, safety, and infrastructure risk across the Bryanston Campus - Ensure compliance with all relevant legislation, standards, and internal governance requirements relating to facilities and building infrastructure. - Maintain oversight of statutory inspections, certifications, and compliance documentation. - Identify and escalate risks timeously, ensuring corrective actions are implemented and tracked. - Stay informed of technical developments, legislative changes, and industry best practices affecting facilities management. - Ensure prompt logging, tracking, and resolution of all maintenance requests and complaints. - Implement structured reactive and preventive maintenance processes. - Monitor building systems including electrical, mechanical, HVAC, plumbing, and fire services. - Identify infrastructure risks and implement corrective and preventative actions. - Ensure operational continuity and minimise business disruption. - Compile monthly Facilities Report which documents all of the above mentioned items. Asset Management - Ensure the effective, efficient and optimal utilisation of all facilities assets in line with asset-care principles. - Implement and maintain planned and preventive maintenance schedules to protect asset condition and extend useful life. - Monitor asset performance and condition to support proactive maintenance and replacement planning. - Prepare and manage asset replacement forecasts and lifecycle budgets in alignment with business planning cycles. - Identify and implement cost-saving and value-optimisation opportunities without compromising safety or service levels. - Review and verify supplier quotations, variation orders, and final invoices to ensure accuracy. - Monitor, track and record the movements of assets. - Monitor and maintain records of warranties, service contracts, compliance certificates, and maintenance history. Ensure compliance to Health and Safety in line with OHSA: - Ensure ongoing compliance with OHSA and related statutory requirements. - Maintain emergency preparedness and business continuity plans, including documentation, drills, and reviews. - Monitor, investigate, and report all facilities-related incidents and alerts to Executive Management. - Ensure appointment and training of health and safety representatives, fire marshals, and first aiders. - Ensure completion of monthly safety inspections and statutory meetings. - Support audits, risk assessments, and corrective action tracking. Ensure a safe, neat and hygienic working environment for staff: - Manage daily campus operations to ensure a safe, clean and efficient working environment. - Conduct regular inspections and audits, ensuring corrective actions are implemented. - Ensure facilities requests and complaints are logged and resolved timeously. - Source vendors, obtain quotations and recommend preferred suppliers. - Coordinate weekend and after-hours contractor activities. - Manage campus-wide communications related to facilities operations. - Maintain up-to-date campus documentation, site guides and SOPs. Ensure Accurate Reporting And Financial Control (budgets And Actuals) - Prepare and manage operational budgets, including day-to-day costs, revise monthly building expenditure. - Monitor monthly expenditure and update forecasts. - Analyse and report budget variances to the AVI Exco Projects Manager. - Review and approve invoices to ensure cost accuracy and budget compliance. - Maintain accurate financial reporting and audit documentation. Delivery Of Ad-hoc Projects - Plan and deliver ad-hoc facilities projects in line with business requirements. - Manage scope, cost, quality, timelines and contractor performance. - Ensure compliance with safety, governance and procurement standards. - Coordinate stakeholder communication and project close-out documentation Effective Team Management - Lead and manage the facilities team to ensure effective service delivery. - Set performance objectives and conduct regular performance reviews (set IPA’s, Mid year and Year End reviews, manage poor performance). - Identify training and development needs. - Ensure compliance with company policies and safety standards. - Promote teamwork, accountability and continuous improvement.
