Office/Admin Lead
The role
We are looking for someone to become the day-to-day hub of a growing specialist SEN organisation.This is a busy, people-facing role. You will be the first point of contact for families, support the team delivering provision and keep the administration behind each young person’s support accurate and organised.
It is not a quiet back-office position. You will need to be warm with people, exceptionally organised and able to manage several priorities without losing track of important details.
About us
SEN Manny Mentor supports young people aged 7 to 19, many of whom are autistic, have ADHD or a PDA profile, or are dyslexic or dyspraxic.Many of the young people we work with cannot access mainstream school, so our provision forms a central part of their education.
Our work is one-to-one, relationship-led and interest-led. We build trust first, then shape learning around the young person.
What you will do
- Manage the main office inbox and respond to parents by phone and email.
- Support new enquiries, referrals and family onboarding.
- Arrange meetings with parents, professionals and the team.
- Maintain calendars, schedules and practitioner availability.
- Coordinate cancellations and timetable changes.
- Take notes during team meetings and follow up agreed actions.
- Chase and securely file session reports.
- Draft letters, reports and professional correspondence.
- Send documentation to local authorities and track deadlines.
- Support DBS checks, references and new-starter administration.
- Collect practitioner hours, check timesheets and calculate pay for approval.
- Prepare invoices, record payments and process expenses.
- Keep records, templates and digital files accurate and up to date.
- Organise training days and occasional team events.
About you
You will need
- Strong administrative or office coordination experience.
- Excellent written and spoken English.
- Confidence communicating with parents and professionals.
- Strong organisational skills and close attention to detail.
- Some experience producing engaging newsletter and marketing copy.
- Confident using digital tools and comfortable working with email marketing platforms and CRM systems.
- Confidence with email, calendars, documents and Google Workspace.
- The ability to work independently from home.
- Discretion when handling sensitive information.
- Confidence working with timesheets, invoices and basic calculations.
- The right to work in the UK.Experience in a school, SEN setting or education organisation would be an advantage, but it is not essential.
You will also complete our Pathological Demand Avoidance training and further internal SEN training.
What we offer
- £25,000 per year.
- Monday to Friday, 9:00am to 5:00pm, with a one-hour unpaid lunch.
- Fully remote working.

- A small number of in-person training and team days (London) each year.
Selected candidates will then attend a formal interview and may complete a short work-based task.
