Marketing Administrative Assistant to provide day-to-day administrative support while coordinating social media posting across multiple client accounts. This role combines administrative operations with social media scheduling and AI-assisted content workflows, making it ideal for someone who is proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced marketing environment.

Role Overview The Marketing Administrative Assistant will provide administrative support to account managers while managing social media posting calendars, scheduling approved content, writing platform-specific captions, and leveraging AI tools to improve efficiency. The role requires strong organizational skills, attention to detail, and the ability to maintain high-quality work across multiple client accounts.

Key Responsibilities

Administrative Support

  • Provide day-to-day administrative support to account managers.
  • Manage inboxes and draft professional email communications.
  • Complete account buildouts and maintain organized client records.
  • Track projects, deadlines, and workflows using ClickUp.
Social Media Posting & Scheduling
  • Build monthly posting calendars using approved content.
  • Schedule content across Facebook, Instagram, TikTok, YouTube, Google Business Profile, LinkedIn, and X.
  • Manage content scheduling through Hootsuite.
  • Ensure posting calendars are accurate and completed on schedule.
Caption Writing & Brand Voice
  • Write engaging, platform-specific social media captions.
  • Adapt messaging to each client's brand voice and audience.
  • Tailor captions based on platform best practices.
  • Learn each client's business before creating content.
AI-Powered Workflow
  • Utilize AI tools to develop content plans and draft captions.
  • Write and refine AI prompts to improve output quality.
  • Review, edit, and quality-check AI-generated content.
  • Leverage AI to improve workflow efficiency without over-relying on automation.
Collaboration & Quality
  • Collaborate with account managers and content teams.
  • Participate in internal meetings as needed.
  • Ensure calendars, captions, and deliverables are accurate and review-ready.
  • Maintain high standards for organization and quality control.
Qualifications Experience
  • Prior experience in an administrative or virtual assistant role.
  • Experience supporting marketing, social media, or account management teams is preferred.
  • Experience building social media posting calendars or using scheduling platforms is a plus.
  • Experience writing captions or content across multiple social media platforms is a plus.
  • Experience managing multiple clients, projects, or deadlines simultaneously.
Qualifications Skills
  • Strong administrative and organizational skills.
