Home Care Scheduler Remote Night Shift US East Coast Hours

Job Type: Full-time independent contractor, 40 hours/week, fully remote Pay: $4–6 USD/hour based on experience, paid in USD via Wise Schedule: 1:00 PM – 9:00 PM US Eastern Time, Monday–Friday (approx. 7:00 PM – 3:00 AM SAST). This is a night-shift role on South African time — please only apply if you can work these hours consistently. Location: Remote. English as a first language is required.

We're a growing US-based senior home care company. Our schedulers are the operational heartbeat of the business — every shift that gets filled means a senior gets the care they depend on. You'll join an established remote team with experienced VA leadership and clear systems.

The Role

You'll own the daily schedule for our caregiving team: matching caregivers to client shifts, resolving call-outs fast, and keeping our scheduling software accurate in real time. Scheduling comes first, but this is also an admin role — when the schedule is quiet, you'll be on client calls, chasing down paperwork from caregivers, and keeping our records clean. Day to day, you will:
  • Build and maintain caregiver schedules in our scheduling platform (AxisCare)
  • Fill open shifts and respond to same-day call-outs by phoning caregivers until coverage is confirmed
  • Monitor missed clock-ins/clock-outs and follow up immediately
  • Communicate schedule changes to caregivers and clients by phone and text
  • Match caregivers to clients based on skills, availability, location, and client preferences
  • Flag recurring coverage gaps and staffing risks to leadership
  • Keep clean notes so the next shift picks up exactly where you left off
Admin support (roughly 20–30% of the role):
  • Call and message clients with updates, reminders, and check-ins
  • Follow up with caregivers to collect documents, timesheets, signatures, and other outstanding items
  • Data entry: keeping client and caregiver records accurate and up to date in our systems
  • General administrative tasks assigned by leadership
  • Orienting new caregivers with roles and responsibilities

Who We're Looking For

  • English as a first language with a clear, warm phone manner — most of this job happens on the phone with US caregivers and families
  • Highly organized and calm under pressure — call-outs happen daily and you'll be the one solving them
  • Reliable home office setup: fast fibre/LTE internet, quiet workspace, backup power for load shedding (UPS or inverter)
  • Comfortable working US East Coast evening hours long-term
  • Experience with scheduling, dispatching, staffing coordination, or call-center work strongly preferred
  • Home care, healthcare, or AxisCare experience is a plus, not a requirement
