Position: Healthcare Receptionist

Working Hours: US Hours (2PM-8PM EST)

Full-Time, Remote Work.

Salary: South African Rand (ZAR)

We are looking for a friendly, organised, and proactive Healthcare Receptionist to join our growing team. This is an excellent opportunity for someone who enjoys helping people, thrives in a fast-paced environment, and wants to build a career in healthcare administration.

As a Healthcare Receptionist, you will be the first point of contact for prospective families, creating a warm and professional first impression. You will support the Intake Coordinators by managing follow-ups, guiding families through the onboarding process, coordinating appointments, and ensuring all required documentation is completed accurately and on time.

This role is ideal for someone who is highly organised, naturally friendly, confident communicating with people, and eager to learn. While previous healthcare administration experience is advantageous, we are primarily looking for someone with the right attitude, excellent communication skills, and a willingness to grow with the company.

Key Responsibilities

  • Serve as the first point of contact for prospective families via phone, email, and SMS.
  • Support the intake and onboarding process for new clients.
  • Follow up with families regarding required documentation and next steps.
  • Schedule appointments and coordinate calendars.
  • Maintain accurate client records within CRM and practice management systems.
  • Ensure all intake documentation is complete, accurate, and submitted on time.
  • Provide exceptional customer service while building rapport with families.
  • Assist with general administrative duties and data entry.
  • Liaise with internal teams to ensure a smooth onboarding experience.
  • Maintain confidentiality and professionalism when handling sensitive information.
  • Support continuous improvement of administrative processes.
  • Positive, enthusiastic, and eager to learn.
  • Self-motivated with a strong sense of initiative.
  • Friendly, approachable, and genuinely enjoys helping people.
