Job Summary

The Receptionist / Administrative Assistant is responsible for managing front desk operations, answering telephone calls and client inquiries, and providing administrative support to ensure smooth daily office operations. The role also assists the Operations Head in coordinating administrative tasks and maintaining efficient communication within the office.

Duties and Responsibilities

Front Desk and Client Communication

  • Answer and screen incoming telephone calls professionally.
  • Respond to client inquiries and direct calls to the appropriate personnel.
  • Greet and assist clients, visitors, and guests in a courteous manner.
  • Maintain a professional and welcoming reception area.

Administrative Support

  • Perform general administrative and clerical tasks such as filing, scanning, photocopying, and document preparation.
  • Maintain office records, documents, and correspondence.
  • Assist in scheduling meetings and managing office calendars.
  • Receive, record, and distribute incoming mail and documents.

Operational Assistance

  • Provide administrative assistance to the Operations Head.
  • Assist in coordinating internal communications and office activities.
  • Help monitor office supplies and request replenishment when needed.
  • Support staff with administrative requirements when necessary.

Qualifications

  • Graduate of Business Administration, Office Administration, or any related course.
  • With at least 1 year experience in reception, administrative, or office support work (preferred).
  • Good communication and interpersonal skills.
  • Proficient in MS Word, Excel, and basic office applications .
  • Professional appearance and customer service-oriented.
  • Organized, detail-oriented, and able to multitask.
