About the Role

We are seeking a highly organized and detail-oriented Financial & Accounting Executive Assistant to support multiple business operations, including healthcare, management services, and real estate investments. This role will assist with bookkeeping, financial reporting, tax preparation support, document organization, accounts payable, accounts receivable, and coordination with CPAs, accountants, lenders, and financial professionals.

The ideal candidate has strong accounting knowledge, exceptional organizational skills, and experience managing financial records across multiple entities.

Responsibilities

Accounting & Bookkeeping Support

Maintain organized financial records Reconcile bank and credit card statements Review transactions for proper categorization

Assist with month-end reporting

Monitor accounts payable and accounts receivable

Track outstanding invoices and payments

Tax Preparation Support

Organize documents for CPA and tax filings Maintain annual tax documentation files Track filing deadlines and requirements

Prepare financial reports requested by accountants

  • Gather supporting documentation for audits and tax preparation

Financial Reporting

Prepare weekly and monthly financial summaries

Create cash flow reports Track expenses across multiple entities

Maintain financial dashboards and spreadsheets

  • Monitor budgets and spending trends

Real Estate Financial Support

Track rental income and expenses

Organize property financial records Maintain lease-related financial documentation

Assist with lender requests and refinancing documentation

  • Prepare property performance reports

Executive Financial Support

Coordinate with CPAs, lenders, attorneys, and financial advisors Maintain organized financial filing systems Prepare reports for executive review

Manage special financial projects

  • Follow up on outstanding financial tasks and deadlines

Qualifications

Required

Excellent written and verbal English communication skills Strong accounting and bookkeeping knowledge Advanced Microsoft Excel and Google Sheets skills

Exceptional attention to detail

Strong organizational skills

Experience working with financial reports
  • Ability to maintain confidentiality

Preferred

QuickBooks experience

Xero experience

Healthcare accounting experience

Real estate accounting experience

Multi-company accounting experience

Tax preparation support experience

  • Accounts payable and accounts receivable experience
