Role Overview

We are seeking a proactive and detail-oriented Legal Assistant to support a busy legal practice with client intake, lead management, case administration, and legal document preparation. In this role, you will serve as a key point of contact for prospective and existing clients, ensuring timely communication and a seamless experience throughout the client journey. You will help manage legal workflows, maintain accurate case records, prepare legal documents using established templates, and support case progression from consultation through resolution.

8:30 AM - 5:30 PM [EST][EDT] (United States of America)

Your Responsibilities Will Include but Are Not Limited To:

  • Providing status updates to clients regarding their cases.
  • Electronically filing uncontested pleadings through Odyssey File & Serve.
  • Drafting legal pleadings and documents using approved templates.
  • Maintaining and updating lead tracking spreadsheets and reporting records.
  • Following up with post-consultation leads to encourage client conversion.
  • Sending retainer agreements following consultations through Lawcus.
  • Returning client calls and text messages promptly during business hours.
  • Answering incoming calls through Google Voice in a timely and professional manner.
  • Organizing, maintaining, and updating client files, pleadings, and court notices.
  • Obtaining client signatures through Dropbox Sign and Lawcus workflows.
  • Entering and verifying client, opposing party, and opposing counsel information accurately within Lawcus.
  • Ensuring smooth case flow and client onboarding once a lead becomes a client.
  • Following up with prospective clients to schedule consultations.
  • Adding and maintaining new leads within the Lawcus CRM.
  • Ensuring accuracy, completeness, and compliance across case records and documentation.
What We’re Looking For:
  • Minimum of 1 year of experience as a legal assistant, or in a legal support role and/or related Bachelor's degree in legal studies.
  • Ability to manage multiple priorities, meet deadlines, and maintain organized records.
  • Excellent verbal and written English communication skills.
  • Strong client service mindset with excellent follow-up and communication skills
  • Strong organization and time management abilities.
  • Exceptional attention to detail and accuracy.
  • Professional client relationship management skills.
  • Ability to prioritize tasks and manage deadlines effectively.
  • Experience in maintaining legal records and case documentation.
  • Strong administrative and data entry skills.
  • Tech-savvy and comfortable learning new software platforms.
  • Ability to work independently while following established processes.
  • Responsive, dependable, and client-focused approach to work.
  • Professional discretion and confidentiality.
  • Legal document drafting experience preferred. Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
