Executive Assistant (Marketing & Operations)

Overview: We are hiring an Executive Assistant (Marketing & Operations) for a health-tech startup company in the Healthcare Technology industry. This is a Part-Time remote role for an Ireland based client. The role is focused on executive support, project coordination, client/member communications, CRM upkeep, and go-to-market/community marketing initiatives. The ideal candidate can proactively own outcomes end-to-end, is tech- and AI-savvy and exceptional communicator, and brings structure to a fast-moving environment. Key Responsibilities: - Provide executive support to leadership: calendar and inbox management, meeting preparation, agendas, notes, and follow-ups - Take briefed projects from concept to completion with clear plans, timelines, and deliverables - Draft, edit, and format proposals, partnership decks, award submissions, press/PR outreach, and member communications - Coordinate go-to-market activities: content calendar, basic social scheduling (LinkedIn/Instagram/Facebook), and maintaining brand collateral - Research and engage potential partners, communities, and associations; coordinate co-marketing opportunities and events - Manage CRM hygiene (Pipedrive or similar): update contacts, track outreach, and maintain pipelines and activities - Support customer/member experience: create FAQs, templates, onboarding emails, and feedback loops - Produce weekly reports on outreach, pipeline movements, content cadence, and key metrics - Create and maintain SOPs, checklists, and templates to improve repeatable execution - Use AI tools responsibly to accelerate quality output while maintaining accuracy, tone, and confidentiality Required Qualifications: - 4+ years of experience as an Executive Assistant, Operations Coordinator, or Marketing Operations/Coordinator supporting senior leadership - Proven ability to independently own projects end-to-end and deliver on deadlines - Excellent written and verbal English communication; strong drafting and editing skills - Experience supporting go-to-market initiatives and community/partnership outreach in a fast-paced environment - Hands-on CRM experience (Pipedrive or similar) and comfort with data hygiene and basic reporting - Strong research skills and stakeholder management across partners, customers, and vendors - High attention to detail, organization, and follow-through; ability to bring structure to ambiguity - Comfortable working remotely with overlap to Ireland/EU business hours and handling sensitive information discreetly Preferred Qualifications: - Experience in healthcare/healthtech, or other regulated/mission-driven industries - Background in partnership marketing, community engagement, or PR coordination - Prior success drafting award submissions, press releases, and thought-leadership content - Familiarity with AI tools (e.g., ChatGPT/Claude) and no-code/automation to improve efficiency - Exposure to LinkedIn outreach tools and social scheduling platforms Required Skills & Tools: - CRM: Pipedrive or similar (HubSpot, Salesforce) - Project management: Asana, Notion, Trello, or similar - AI and productivity: ChatGPT/Claude, Google Workspace or Microsoft 365 Schedule & Pay: - Part-Time position; approximately 20 hours per week with core overlap during Ireland (GMT/Irish time) business hours - Fully remote role for an Ireland based client - Pay ranges from R7,100- R12,700 (~430 USD - 774 USD) per month - Includes ongoing training, exposure to cutting-edge healthtech and AI workflows, and growth potential as the program scales System Requirements: - Internet speed of at least 20 Mbps upload and download - Computer with a 2.4 GHz processor or higher - 8 GB of RAM or higher - Windows 10 or newer, or Mac OS X 10.10 or newer - HD 720p webcam - Headset with microphone Benefits: - Competitive pay rates - Consistent hours and predictable workload - Fully remote work with long-term potential - Direct collaboration with Founder, making a real impact - Supportive and inclusive work environment - Opportunity to grow alongside a scaling healthtech startup If you are passionate about tech and want to improve healthcare accessibility, we would love to hear from you!
