DC Admin Clerk – Night Shift
Description
Dis-Chem Pharmacies is recruiting a DC Admin Clerk to work the night shift at its Distribution Centre in Midrand. The successful candidate will perform administrative and clerical duties supporting warehouse operations. All work must meet Dis-Chem standards, legal requirements and customer-service expectations.
Responsibilities
- Process warehouse and sales-order credit requests accurately and efficiently.
- Investigate, follow up and resolve credit and warehouse-delivery queries.
- Review warehouse credits and support the approval or rejection process.
- Maintain the integrity and accuracy of captured credit information.
- Process returns according to established procedures.
- Communicate with stores, warehouses and other internal departments.
- Assist Finance with resolving warehouse-delivery discrepancies.
- Maintain accurate administrative records, reports and statistics.
- Process weekly timesheets for outsourced employees and distribute paysheets.
- Capture leave forms for permanent and outsourced employees on Kronos.
- Place approved stationery and departmental expense orders.
- Submit invoices for payment after delivery.
- Provide general administrative support and cover appropriate clerical duties when the Administration Manager is unavailable.
- Process received invoices through MIRA.
- Verify goods-receiving documents, supplier invoices and delivery notes.
- Confirm that shortage and damage claims have been completed.
- Match Goods Received Note quantities against supplier invoices and delivery notes.
- Refer identified errors to the relevant departmental manager.
- Verify external supplier invoices and related goods-receiving records.
- Create and capture Distribution Centre purchase orders on SAP.
- Reconcile return-to-vendor inventory, open return orders and physical goods.
- Process goods issues and supplier or distribution orders.
- Capture stock adjustments, negative counts and cycle counts.
- Prepare and process stock being returned to suppliers.
- Follow up with supplier representatives regarding the collection of returns.
- Respond to store queries about distribution discrepancies.
- Monitor supplier delivery deadlines and provide feedback to management.
- Maintain effective relationships with internal and external stakeholders.
- Keep the workstation clean and comply with housekeeping standards.
- Follow company policies, standard operating procedures and health and safety requirements.
Requirements
- Grade 12 or Matric.
- One to two years of administrative experience.
- South African citizenship.
- Availability to work the designated night shift.
- Reliable transport.
- Basic SAP knowledge would be advantageous.
- Basic knowledge of Kronos.
- Basic understanding of Human Resources administration.
- Knowledge of distribution-centre, logistics and supply-chain operations.
- Computer literacy, including Excel, PowerPoint and Outlook.
- Ability to pass MIE, criminal-record and credit checks.
