Role Overview
At Job Duck, we are looking for a Client Service Representative who is passionate about delivering exceptional client experiences and serving as the first point of contact for individuals seeking legal assistance. In this role, you will help prospective clients navigate the intake process, gather important information, and ensure every interaction is handled with professionalism, empathy, and attention to detail. You will support a busy legal practice by managing communications, coordinating schedules, and maintaining accurate records that help attorneys provide outstanding service.This opportunity is ideal for someone who enjoys helping others, thrives in a client facing environment, and takes pride in creating positive experiences through clear communication and strong organizational skills. Schedule:
Monday to Friday from 9:00 AM to 6:00 PM EST (USA)Your Responsibilities Will Include but Are Not Limited To:
- Managing calendars and coordinating scheduling needs
- Conducting client intake conversations and gathering relevant details regarding potential matters
- Ensuring confidentiality and professionalism in all client interactions
- Performing administrative support tasks as assigned
- Scheduling consultations, appointments, and meetings
- Creating clear summaries of client matters for attorney review
- Collecting and organizing client information and supporting documentation
- Transferring calls to the appropriate team members when necessary
- Answering incoming phone calls in a professional and courteous manner
- Serving as the primary point of contact for prospective and existing clients
- Creating a welcoming and positive experience for every caller and client
- Following up with potential clients when appropriate
- Maintaining accurate client records and documentation
- Responding to client questions and providing exceptional customer service

- Legal administrative experience preferred but not required
- Previous customer service, receptionist, intake, call handling, or client support experience preferred.
- Legal industry experience is a plus but not required.
- Ability to manage inbound calls professionally and efficiently throughout the day.
- Experience using Outlook or similar email management platforms preferred.
- Comfortable working with VOIP phone systems.
- Strong organizational, documentation, and administrative skills.
- Ability to multitask while maintaining a high level of accuracy and professionalism.
- Comfortable learning new software, systems, and workflows.
- Ability to handle confidential and sensitive information with discretion
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
