Role Overview
Job Duck is seeking a personable, proactive, and detail-oriented Intake Specialist to serve as the first point of contact for potential clients. In this role, the candidate will manage incoming leads, answer calls, follow up with prospects, and help create a professional and supportive first impression. The ideal candidate will enjoy speaking with people, building trust quickly, and guiding potential clients toward scheduling consultations.This position is well suited for someone who communicates clearly, stays organized under a steady call flow, and takes initiative to keep client communication moving smoothly. The selected candidate will play an important role in helping convert inquiries into meaningful client relationships while supporting daily scheduling and intake operations.
Schedule:
Monday to Friday from 8:00 AM to 5:00 PM PST (USA)Your Responsibilities Will Include but Are Not Limited To:
- Completing approximately 10 outbound follow-up calls per day
- Handling approximately 20 to 30 inbound calls per day
- Maintaining accurate client information and ensuring all details are recorded correctly within company systems
- Conducting outbound follow-up calls to engage potential clients and encourage consultation bookings
- Managing client intake processes and serving as the first point of contact for potential clients
- Providing a professional, friendly, and helpful experience throughout the intake process
- Managing and maintaining the attorney’s calendar, including scheduling meetings, appointments, and personal commitments
- Following up with clients to ensure they receive timely communication and support
- Scheduling client consultations and appointments
- Proactively following up with leads who have contacted the firm but have not yet scheduled consultations
- Answering and managing inbound phone calls from leads and clients
- Candidates should have strong verbal and written English communication skills
- Candidates should have a clear communication style with an accent as close to an American accent as possible
- Required software and tools include MyCase, RingCentral, Outlook, Teams, Word, Excel, calendar management tools, OneDrive, and Adobe Acrobat
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
